Effective Delegation 101

Effective delegation means empowering employees to take on the assigned responsibility as well as authority to complete the assigned task. Simply assigning tasks and leaving behind instructions to comply with does not amount to delegation.

The work ethics and the process followed does effect delegation of work. If a assignment of task has to be affective, both the manager as well as the employee should be accountable and responsible for their actions too along with timelines.

Affective delegation of the task also entails checking out whether the employee to who the task has been delegated has understood what are the objectives, has understood how to approach the task and complete it and besides is equipped to complete the job on hand.

Once the task is assigned and delegated, there should not be any further disturbance to the completion of the task by taking it back, modifying, changing the scope etc. Such things if done reflect poorly on the quality and responsibility of the manager rather than the employee.

When a task is delegated, the employee becomes not only responsible but becomes authorized to use his borrowed power to execute, direct and use the resources available to him as well as take appropriate decisions within the prescribed level of authority in view of the project task undertaken by him or her.

In the case of effective delegation one can expect the employee to be sufficiently motivated to feel responsible to complete the given tasks and take all necessary initiatives to discharge his or her responsibility even in the absence of management guidance or supervision.

When you have completely delegated the task and the employee has understood the risks as well as the outcome expected, you should then stand aside and let him take charge of the program and manage thins in his style and at his pace. Your role should be that of a support or resource who is available to give inputs when asked for. Thereby the employee gets full freedom to own and run his project.

When the project has been delegated to the employee, you should expect that he or she will make mistakes in executing the task. It is quite natural for everyone to make mistakes and learn from them. They should have the freedom to do so and not be penalized for it. Only by making mistakes will people learn.
